ENROLLMENT FAQs

What is the enrollment process? 

We use a simple 3-step enrollment process: 

  1. Complete the online application 
  1. Submit all required forms 
  1. Receive confirmation of acceptance and start date 

What are the age requirements? 

Students must meet AISD age requirements for their grade level. 
Note: Kooken accepts 3-year-olds for the PM session only. 

Do you offer drop-in care? 

Yes. Drop-in care is available at a daily rate, depending on campus availability. 

To use drop-in care, families must: 

  1. Complete the online application 
  1. Submit all required forms 
  1. Receive confirmation of acceptance and start date 
  1. Make payment in advance 

All steps must be completed before the student can attend drop-in care.

BILLING FAQs

What is the billing cycle? 

Full-time students are charged the weekly rate the week prior to care being provided. Tuition must be paid before a child can attend TCK programming. 

Payment Schedule (Full-Time): 

  • Monday: 
  • Any penalty fees from the previous week will appear on your account. 
  • Tuition for the upcoming week is billed. 
  • An Account Summary Invoice is emailed to the Primary Account Holder. 
  • Wednesday: 
  • Auto-payments are drafted for families enrolled in recurring payments. 
  • Thursday: 
  • Tuition payment is due by 5:00 PM for the following week’s attendance. 
  • Friday: 
  • A late payment fee will be added to any past due balance. (See Penalty Fees section.) 
  • Monday: 
  • Students will not be permitted to attend if payment is not reflected on the account by Monday morning. 

Important: 
Tuition fees are non-refundable once billed on Monday and will not be waived, removed, credited, or reimbursed for non-attendance. 
Failure to make payment in full may result in your child being denied access to the program upon arrival. 

How does billing work for drop-in students? 

Drop-in students are charged the daily rate for each day of attendance. 
The Accounts Manager must receive notice by emailing [email protected] or calling 817-468-0306. 

Drop-In Payment Schedule: 

  • Monday: 
    Payment is due no later than 12:00 PM for any drop-in services needed that week. 
    Failure to pay may result in your child being sent to the school’s office. 
  • Last-Minute Attendance: 
    A minimum of 2 hours’ notice is required, and payment must be made in full prior to attendance. 

Drop-in students pre-pay at the daily rate; accounts are not prorated to full-time tuition rates. 

Do you bill for holiday weeks? 

No. We do not bill during holiday breaks unless your student is enrolled in one of our Holiday Camps. 

Who do I contact if I need to reach someone on-site? 

Each campus has a designated phone number. These can be found under resources for quick access. (ensure that this page will exist). 

PROGRAM FAQs 

How do I report my student’s absence? 

Families should call the site phone and follow the voicemail instructions to report an absence. This ensures staff receive the message promptly and can update attendance records. 

What time does the program end? 

Our program runs from school dismissal until 6:00 PM, and students must be picked up by that time. Manuel Jara ends at 5:30pm. 

Late Pick-Up Fees (beginning at 6:01 PM): 

  • 6:01–6:15 PM  $10 
  • 6:16–6:30 PM  $20 
  • 6:31–6:45 PM  $30 

Fees increase in 15-minute increments until the child is picked up. 

What activities do students do in the program? 

Students participate in structured activities such as homework support, arts and crafts, outdoor play, team-building games, STEM lessons, literacy time, and age-appropriate enrichment activities. 

Sample Daily Schedule 

(Times may vary based on district) 

Before School Program 

6:30 AM – Program Opens 

Students may be signed in at this time.
We provide fine-motor activities, movement games, manipulatives, and time for students to finish homework if needed. 

7:45 AM – Breakfast Students Line Up 

Students who receive breakfast will line up and be escorted to the cafeteria by an instructor. 

8:00 AM – Remaining Students Line Up 

Students who do not receive breakfast will line up and be released from the gym to go to their classrooms. 

After School Program 

3:30 PM – Dismissal & Attendance 

As students are dismissed from school, those enrolled in our program arrive in the gym/cafeteria.
Attendance is taken once all students have arrived. 

3:55 PM – Wash Hands, Water Break & Snack Time 

4:15 PM – Homework / Reading / Assignments 

Students are given 30 minutes to work on homework, read, or complete assignments. 

4:45 PM – Rotation Groups: Curriculum & Group Activities 

Students are split into age-appropriate groups: 

  • Pre-K – 2nd Grade 
  • 3rd – 6th Grade 

Activities may include: 

  • Group games 
  • Curriculum-based activities 
  • Arts & crafts 
  • Physical fitness 
  • Playground time (weather permitting) 

5:45 PM – Rotation Groups: Social–Emotional Learning 

Students participate in activities designed to build relationships, teamwork, communication, and positive social skills. 

6:00 PM – Clean-Up & Closing 

Program closes for the day. 

 

Is my student required to stay until 6 PM? 

No. Students may be picked up at any time during program hours. 

What campuses offer Before School Care? 

From 6:30am – about 7:45am when students are released to go to breakfast. 

Before School Care is offered at the following campuses:

• Farrell
• Little
• West
• Uplift 

How are age groups separated? 

Age groups are separated by grade level to ensure safety, supervision, and developmentally appropriate programming.
• Pre-K through 2nd grade form one group
• 3rd through 5th grade form the other 

What is your staff-to-child ratio? 

We maintain a 1:15 staff-to-child ratio.
